Clubstar Athletic Academy ("Clubstar Athletic", "we", "our", "us") respects your privacy and is committed to protecting your personal information. This Privacy Policy describes how we collect, use, disclose and safeguard the personal information we receive from visitors and students of clubstarathletic.com in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), Quebec's Act respecting the protection of personal information in the private sector (Law 25), and other applicable Canadian privacy laws.

2.1 Information you provide

• Identity information — name, date of birth, professional title.
• Contact information — email, phone, mailing address.
• Application and assessment information — résumés, transcripts, interview notes, capstone work.
• Payment information — billing address, last four digits of payment card; full payment-card data is processed by our PCI-DSS compliant payment partners and is never stored on our servers.
• Communication content — messages submitted via our contact form, emails and live chat.

2.2 Information collected automatically

• Technical information — IP address, browser type, operating system, device identifiers.
• Usage information — pages visited, time on page, referring URLs.
• Cookies and similar technologies — see our Cookie Policy.

3. Purposes for which we use your information

• To respond to enquiries and process applications.
• To deliver courses, schedule classes, issue certificates and provide career services.
• To process payments and manage instalment plans.

Where appropriate we also rely on contractual necessity (to deliver a program you have purchased), legitimate interests (to operate and secure our services) and legal obligation (to comply with Canadian law). You may withdraw consent at any time, subject to legal and contractual restrictions, by contacting our Privacy Officer.

5. Sharing of personal information

We do not sell personal information. We share personal information only with:

• Trusted service providers (cloud hosting, payment processing, email delivery, analytics) bound by confidentiality and data-processing agreements.
• Faculty and academic staff for the purposes of teaching, grading and certification.
• Professional advisors (accountants, lawyers, auditors) where strictly necessary.
• Government, regulatory or law-enforcement bodies where required by law.
• Successors in connection with a merger, acquisition or restructuring, with appropriate safeguards.

6. International transfers

Some of our service providers may store or process personal information outside of Canada, including in the United States and the European Union. When this happens we put in place contractual safeguards (such as Standard Contractual Clauses) and review the privacy regimes of the destination jurisdictions in line with Quebec Law 25.

7. Retention

We retain personal information only for as long as necessary to fulfil the purposes for which it was collected, including legal, accounting or reporting requirements. Application records are retained for up to seven years; marketing data is retained until you withdraw consent.

8. Security

We use administrative, technical and physical safeguards to protect personal information, including encryption in transit (TLS), encryption at rest where appropriate, role-based access controls, multifactor authentication for staff accounts, and regular security reviews. No system is perfectly secure; in the event of a privacy incident we will notify affected individuals and regulators in accordance with PIPEDA and Quebec Law 25.

Subject to applicable law, you have the right to:

• Access the personal information we hold about you.
• Request correction of inaccurate personal information.
• Request deletion of personal information that is no longer needed.
• Withdraw consent to further processing.
• Receive a copy of your personal information in a structured, commonly used format (data portability).
• Lodge a complaint with the Office of the Privacy Commissioner of Canada or with the Commission d'accès à l'information du Québec.

10. Children

Our programs are designed for working adults. We do not knowingly collect personal information from children under the age of 14. If you believe a minor has provided personal information, please contact us so we can delete it.

Our website may contain links to third-party sites (including educational resources and partner platforms such as national bank direct brokerage). This Privacy Policy does not apply to those sites; please review their own policies.
